We are thrilled to be part of your creative journey and look forward to hosting you at our art retreats and workshops. Please read these booking terms and conditions carefully, as they set out the legal rights and obligations between Art Muse Collective and you, the participant, upon booking.
BOOKING TERMS & CONDITIONS
1. Booking and Payment Terms
- Booking Process: All bookings are processed on a first-come-first-serve basis. To secure a spot in any Art Muse Collective retreat or workshop, a non-refundable booking fee is required. Please consult your retreat’s info pack for the details.
- Full Payment: The remaining balance must be paid 60 days before the retreat or workshop start date. If booking within 60 days of the retreat start date, full payment is required to confirm your reservation.
- Payment Methods: We accept payments via electronic funds transfer (EFT). All payments must be made in South African Rand (ZAR).
2. Cancellation and Refund Policy
- Participant Cancellations:
- 90 Days (3 months) or more Before Retreat Starts: Participants who cancel 90 days or more before the retreat or workshop start date will receive a refund of any fees paid, minus a 20% Admin Fee.
- 60 Days (2 Months) Before Retreat Start: If cancellation occurs 60 days before the retreat start date, 50% of the total booking fee or funds will be refunded.
- Less than 60 Days (2 months) Before Retreat Start: Cancellations made within less than 60 days of the retreat start date are non-refundable.
- Please note that Booking Transfers to another person is possible, as per point 3: Changes to Bookings.
- COVID-19 Policy: If travel restrictions or government mandates related to COVID-19 prevent participation, we offer a transfer of booking to another date or to a different retreat or workshop of equivalent value within 12 months of the original booking.
- Art Muse Collective Cancellations: In the rare event that Art Muse Collective must cancel a retreat or workshop (e.g., due to illness, insufficient participant numbers, or unforeseen circumstances), a full refund will be provided. Art Muse Collective is not responsible for additional expenses such as flights or accommodation arranged independently.
3. Changes to Bookings
- Date Change: Requests to transfer your booking to another retreat or workshop date must be made at least 60 days before the original start date and will be subject to availability. An administrative fee may apply.
- Transfer of Booking: Bookings are transferable to another person, provided the replacement participant agrees to these terms and conditions. It is your responsibility to find a replacement, should you wish to transfer your booking.
4. Travel Insurance
- Mandatory Insurance for International Participants: Art Muse Collective strongly advises all participants, especially international guests, to obtain travel insurance that covers medical expenses, travel disruptions, and retreat cancellations.
- Local Participants: While not mandatory, we recommend that South African participants also consider obtaining travel insurance.
5. Health, Safety, and Conduct
- Health and Safety Compliance: Participants must notify Art Muse Collective of any medical conditions, dietary restrictions, or other special needs at the time of booking. Participants are responsible for ensuring that they are in good health and able to participate in the activities associated with the retreat or workshop.
- Code of Conduct: To ensure a positive experience for all, participants are expected to show respect for fellow attendees, instructors, and property. Art Muse Collective reserves the right to dismiss any participant whose behavior is disruptive, unsafe, or disrespectful without a refund.
6. Travel Arrangements
- Arrival and Departure: Participants are responsible for their own travel arrangements to and from the retreat location. Information on recommended arrival and departure times will be provided before the retreat start date.
- Airport Transfers: Transfer services may be available for an additional fee and must be arranged in advance.
- Transfers to Venues or Activities: Transfers included in your retreat are specified. Please consult your info pack for your specific retreat.
7. Accommodation, Facilities & Services
- Room Allocations: Unless otherwise specified, accommodation is based on single rooms and allocated on a first-come-first-serve basis.
- Facilities, Services & Facilitators: Art Muse Collective aims to provide the amenities and services described in retreat and workshop descriptions, but circumstances beyond our control or Acts of God may result in modifications or substitutions. This will not result in a refund.
8. Personal Property and Liability
- Responsibility for Belongings: Art Muse Collective is not responsible for the loss, theft, or damage of any personal property brought to the retreat or workshop.
- Liability Waiver: By booking, participants agree to hold Art Muse Collective harmless from any claims arising from injury, loss, or damage sustained during the retreat or workshop. Participants assume full responsibility for their actions during all activities.
9. Photography and Media Consent
- Photographic Release: Art Muse Collective may take photos or videos during retreats and workshops for marketing and promotional purposes. By attending, participants agree to allow the use of their likeness in such media. If a participant does not wish to be photographed, they should inform Art Muse Collective prior to the retreat start date.
10. Intellectual Property
- Workshop Content: All workshop materials, techniques, and content provided during retreats and workshops are for personal use only. Unauthorized reproduction, distribution, or commercial use of any content or materials is prohibited.
11. Governing Law and Jurisdiction
- These terms and conditions are governed by the laws of South Africa. Any disputes arising under or in connection with these terms and conditions shall be subject to the exclusive jurisdiction of the South African courts.
12. Acceptance of Terms
- By booking a retreat or workshop with Art Muse Collective, you acknowledge that you have read, understood, and agreed to these terms and conditions.
